Fellow’s Vademecum

We would like to recommend you to read and use the Fellow’s Vademecum for the POLONEZ BIS programme. The guide provides practical information on implementing individual POLONEZ BIS research projects and answers many questions about the programme.

Fellow’s Vademecum.

Funding agreement

Funding agreements that have been successfully delivered to NCN are currently waiting for the formal check. We would like to remind you that they will be signed by the NCN’s Director only after we receive a document confirming that the principal investigator/Polonez fellow has been employed by the host institution under the conditions defined in §2 (1-2) of the funding agreement (throughout the funding term under a full-time employment contract, solely for the purpose of performing research and training activities related to the POLONEZ BIS project’s implementation).

The employment confirmation should be submitted in electronic form (signed with a qualified electronic signature in PAdES format by the representative of the host institution), to the address of National Science Centre’s Electronic Delivery Box: /ncn/SkrykrytkaESP, within 7 days of the day the fellow’s employment begins. Fellow’s employment for the purpose of POLONEZ BIS project must begin on the project start date.

Polish visa

POLONEZ BIS Fellows who are citizens of countries that are not coverd by the visa-free movement (list of the countries), have to apply for a visa to Poland before arrival. Visas are issued by Polish embassies/consulates located abroad (the list of consular units).

Fellows should apply for national D-type visa and as a purpose of the trip add an annotation “scientist/researcher, for the purpose of performing scientific research or development work”. This type of visa is issued for a max. period of 1 year and for the purpose of performing scientific research or development work.

More information on visa obtaining procedures is available on Euraxess Poland website (link): and on the Polish MFA website (link).

The NCN Director’s decision granting funding for the implementation of your POLONEZ BIS project should make the purpose of your arrival in Poland credible. However, supporting documents may be different depending on the country where a visa application is submitted. Document confirming employment in Poland should be issued by the Host Institution.

When the stay exceeds a period of 1 year, which is the POLONEZ BIS programme case, it is obligatory to apply for a temporary residence permit, which is issued for a max. of 3 years with a possibility to extend. Residence permits are issued by Voivodeship Offices. You can apply for the residence permit at any time within your legal stay in Poland, at latest on its last day e.g. on the last day of your visa validity. There is a permit special type dedicated for a scientists/researchers coming to Poland to conduct scientific research (more information).
